What the 48-hour scan hands over
This is the shape of the page you get, drawn for an invented property management office of about twenty people. The company, its tools and its scores are an illustration. Yours names your tools and carries the evidence behind every score.
Sample: invented company, illustration only01 What was found
Three AI tools, two of them added without a plan
- A reply assistant inside the shared inbox, added by a staff member.
- A chat window on the website, supplied by the website vendor.
- An automation that copies each website lead into the CRM and sends the lead a welcome text.
02 The score
4 of 24, scored against the eight rules
Each rule scores 0 to 3, and the score for a rule is the weakest of the three tools. A 3 means the slip cannot happen.
| Rule | Score | What I found | What a 3 looks like here |
|---|---|---|---|
| 01 Asks before it sends, spends or deletes | 1 | The inbox assistant sends on its own whenever it rates itself confident. Nobody wrote down what it may do alone. | Drafts only, plus a written list, approved by you, of the replies it may send alone. |
| 02 Every action logged in plain English | 0 | The automation keeps a short run history, and the same login that runs it can clear it. | Every action of all three tools in one log that none of them can edit. |
| 03 Runs inside your accounts | 1 | The chat window keeps every conversation on the vendor's servers, under the vendor's login. | Conversations stored in your accounts, exportable by you today. |
| 04 Unsure means a person decides | 1 | When the chat window does not know, it answers anyway. | It hands the conversation to a person, with a draft reply already written. |
| 05 Client information only to approved tools | 0 | The automation's settings send leads to two outside services that nobody remembers approving. | A written list of every outside service, each one approved by you. |
| 06 An off switch on every part | 1 | The automation pauses from its settings, and leads landed back in the inbox when tested. The chat window comes off only by editing the website. | One switch per tool, tested while you watch. |
| 07 Inspection before it runs alone | 0 | The inbox assistant went live the day it was installed. | A stretch of drafting beside your team, on real messages, before any reply goes out alone. |
| 08 The launch checklist | 0 | The welcome text goes to every new lead, including people who never agreed to texts. | Texts only to people who agreed, an opt-out on every marketing email, and a dated checklist. |
| Total | 4 | of 24 | |
